Setting up and emailing Family Access account code

The first step in setting up your Family Access is to set up access codes for students and parents.  Parents and students will each have separate codes as the parent access offers additional choices, such as online registration and demographic updates. 

To update the codes individually, open the student demographics and touch “Edit”.  Then go to the “Office Use” tab.  Touch the “generate random” link to generate a random code for both the parents and students.  The parent code is the “Web RegCode” and the student code is the “Stu Web RegCode”.  This process would be done for new enrollees to your school.

Codes can also be generated in mass by going to Students by Grade.  Select the students you wish to create codes for and then touch the “Action” link at the very top of your screen.  Choose “Create Registration Codes for web access”.

 

 

Select if you wish for codes to be created for all students or for selected students.  If a student already has registration codes created, it will not override these.

Once the registration codes are assigned at all buildings, you will need to distribute these codes to parents and students.  Your templates view in Office Use…Templates already has the default parent and student letters entered. 

  • The “Harmony 3 Family Access” template is for parents/guardians.  This template instructs them on how to set up one account and tie all of their students to this one account.  

  •  

  • The “Harmony 3 Family Access-STUDENT” template is the templates students will receive.  This shows them how to set up their own account where they will only see their information.

 

To send out the notification emails, first make sure you are in Harmony 3.  Then go to Students by Grade and select all.  Then go to Add New…Email.  Choose to send the email to the “Guardian” and then choose the “Harmony 3 Family Access” template.  This will then display the parent/guardian template.

  • If the student demographics have more than one guardian email address listed, it will send this email to each one of these email addresses.

 

  • Each parent/guardian will then have the opportunity to set up their own account and then tie their student(s) to this account.

 

 

 

Once the parent emails have been sent, select all students and create an email again.  This time choose to send the emails to the students and choose the template as “Harmony 3 Family Access-STUDENT”.  This will send out the individual student code to each student’s email address with the instructions on how to set up their own account.
